Event Staffing Assistant.
(Fixed Term - 9 months)

Salary: £18,774 pro rata
Based on £25,032 annual salary

Proposed Start | Finish Date: 15th April 2024 to 14th January 2025

Working from home/remotely, as well as at some of our events over the peak festival & festive periods, you will assist the small team at Festivall Staff to fulfil a wide variety of staffing needs at our events.

You will help grow the pool of talented individuals within our organisation while strengthening the relationships with existing staff through consistent handling of admin.

Job Description:

  • Assist in the delivery of staff across multiple events using our staff management software.

  • Conducting staff interviews to ensure our high staffing standard is maintained by reviewing the suitability of candidates.

  • Create and maintain positive relationships with event staff throughout the onboarding process as well as the continued duration, by being a point of contact.

  • Represent and promote work at appropriate job fairs and recruitment events.

  • Assist the Marketing Team when needed with the development of social media channels, newsletters, and job adverts.

  • Collate and produce pre-event information for staff distribution.

  • Uphold communication with staff pre-event and throughout, to ensure all staff are prepared and our high welfare standard is sustained.

  • Attending event sites to aid the on-site leadership team in the opening and closing of shows, and stepping into various on-site roles such as Staff Supervisor when needed.

  • Acting as a point of contact for staff and on-site leadership teams on event days. This includes overseeing staff shift attendance, recording any absence/lateness, and on-the-day support.

  • Creating and analysing post-event surveys/questionnaires for relevant feedback and opportunities for improvement. 

  • Contribution towards recruitment strategies, and staffing processes to optimise future plans.

  • Upholding and supporting company values in everyday practice. 

  • Oversee and aid in the achievement of organisational goals.

  • Reports to Event Staffing Coordinator.

  • Acting on behalf of and representing the Staffing Coordinator as required.

Person Specification:

  • Essential: 

    • Self-motivated, proactive individual with enthusiasm and an optimistic mindset.

    • Strong communication skills, online and in-person, with a personable yet professional approach.

    • Knowledge and/or experience, of the events industry, or comparable industries.

    • Experience with/understanding of high welfare standards.

    • Proven problem solver with the ability to exercise judgment where needed.

    • Confidence to conduct interviews and screen candidates.

    • Strong IT skills, familiar with Google Drive etc., and ability to pick up staff and project management software

    • Proven ability to work autonomously across several projects and manage time to meet deadlines.

    • Team-player who can integrate easily into groups.

    • Willingness to learn basic legal formalities, such as Right To Work procedures.

    • Full UK driving license with access to vehicle.

    Desirable:

    • Event or Business qualification.

    • Experience Supervising or leading teams.

    • Knowledge of sustainability practice within business.

Working Days / Hours: A standard working week consists of 4 x 10-hour days. A working week will often include evenings and weekends, particularly during peak festival season (May to September) and festive season (November to December). These will be arranged on a case-by-case basis. Weeks may vary - with 20 hours one week, and 60 the next. A working week will not exceed 60 scheduled hours, and the employee is guaranteed at least 1 day off per week (peak) and at least 2 days off (off-peak).

Contract length: 9 months (subject to review)

Holiday Entitlement: 19.5 days, including birthday (if applicable) and Christmas Day

Pay schedule: Your compensation will be paid in monthly instalments (£2,086 x 9 instalments) in arrears in accordance with the Company’s salary payroll process, and subject to applicable tax and other withholdings. This position is a fixed term and your regular salary will be prorated based on a 40-hour workweek above the current Living Wage at £12 per hour. As a fixed-term employee, you can enrol in our company pension scheme.

Bonus: Subject to performance

Expenses:
- Accommodation and travel expenses provided when working in a non-commutable destination (including staff campsites) 
- Sustenance is provided on a client-by-client basis
